Why coordination tools matter for reunion Umrah
Phone calls and emails are not sufficient to coordinate 6 to 12 people in 3 countries. Shared digital tools are required.
Without a WhatsApp group and shared docs, a reunion Umrah is destined to fail. There will be no changes to flights for family members. Data pertaining to the hotel blocks will be lost. By the time you get to settlement, cost-splitting matters will have been forgotten.
This guide presents the exact tools, template, and practices which diaspora reunion families use to keep them running smoothly.
The core toolkit
Tool 1: WhatsApp group (must-have)
The reason behind using WhatsApp: almost everyone in the UK + US + BD has it. Cross-platform (iPhone + Android). Free. End-to-end encrypted.
Set up:
- Name: Khan Family Reunion Umrah April 2027
- Include all: parents, siblings, in-laws, spouses
- An admin (family leader) is set.
- Pin: hotel name, mu'allim contact, flight summary
Tool 2: Shared Google Doc (must-have)
Everyone can edit, that's why Google Doc. Real-time. Available on all devices.
Sections:
- Working unit job descriptions and qualifications (responsibilities and duties)
- Track who paid what is called cost splitting tracker.
- Itinerary day-by-day
- Passport details (passport photo, page 2, name, and expiration date)
- Mu'allim contact and schedule
- Emergency contacts (each country's embassy in Saudi)
Tool 3: Shared Google Calendar (recommended)
To keep track of everyone's availability and what the actual dates of the trip will be.
Add:
- Family member vacation dates (in addition to the school district's)
- The specific dates for visa application, deposit payments, and balance payments.
- For services outside the US, specify dates for the trip, including time of flight and hotel check-in.
- During the trip, a variety of activities will take place, including:Activities on the day:
Tool 4: WhatsApp pinned messages
Pin 5 critical messages at the top of WhatsApp group:
1\. Hotel: "Anjum Makkah, Floor 12, Rooms 1208-1212. Phone: +966-12-XXX-XXXX"
2\. Mu'allim: "Abdul Rahman, +966-50-XXX-XXXX, speaks Bangla"
3\. Flights: "UK: Qatar QR-633, Apr 5, 2pm Jeddah. US: Delta DL-242, Apr 5, 6pm. BD: Biman BG-038, Apr 5, 10pm"
4\. Emergency: "Agency 24/7: Tour Solvers +44-20-XXX-XXXX"
5\. Payment: "All Tour Solvers payments to: account info"
Here are 5 pins that answer 90% of the 'what's the hotel name again?' questions.
How a reunion family used WhatsApp + Docs (composite)
The Hossain family. 8 people from the UK, US and BD are planning the April 2027 Reunion.
Week -22: Family WhatsApp group set up. Adult daughter, Mahi, is the leader.
Week -21: Shared Google Doc set up. Sections to be completed by each family member with their passport information.
Week -20: Doc was reviewed in a family meeting (zoom call). All participants verified information.
Week -18 to -10: Updates will be made as bookings occur. Visa was approved, Flight confirmed, Hotel block confirmed.
Week -8: Final itinerary day-by-day added to Doc.
Week -2: Pre-trip review video call. 91 pinned messages in WhatsApp.
On the trip: 10 minute check in with the family each day via WhatsApp. Tawaf completed, resting, and dinner at 7pm at Hotel.
Trip: Final cost reconciliation after trip.
Result: Zero confusion. After being separated for only 30 minutes, the family reunited.

What goes in the family WhatsApp group
Good messages:
- This is an update on the trip, "Just landed in Jeddah, going to a hotel".
- These photos are sent as a courtesy to the parents of the student. These photographs are sent to parents as a courtesy.
- This is what the daily check-in will look like: Tawaf done, resting
- Practical: "Lunch in a hotel restaurant at 1pm - are you in?
- Reminders: "Mu'allim says prayer for Asr at 4 / 30 today"
Bad messages:
- After long political deliberations
- Money talk (do this elsewhere)
- Issues related to family members
- Any links or forwards on spam email are not included.
- Photos to be sent with parents only (private photos)
Ensure the group stays on task during the trip. Politics, gossip and arguments are not in this place.
How to set up the WhatsApp group right
- Step 1: Family leader forms the group.
- Step 2: Include close family members first (siblings, parents).
- Step 3: Spouses are next.
- Step 4: Adult children (15+) may participate, sometimes a helpful part.
- Step 5: Make up the rules, No political material, No spam.
- Step 6: Hang the 5 critical messages.
Group names should be set to some specific with Step 7 like "Khan Family Reunion Umrah April 2027" (not "Family").
Daily 10-minute check-in habit
Set aside a specific time each day for a quick check-in with your family during the trip. Typically on a break between breakfast and Maghrib prayer.
What to discuss:
- Any ailments of older parents
- Cost questions
- Plans for the day
- Next day wake-up time
- Anyone has special needs
10 minutes max. Then everyone goes back to focusing on prayers and reflection.
Using Google Docs for cost tracking
Set up your shared sheet:
After the trip, sum reimbursable shared costs. Split by family unit.
Backup plans for tech failures
WhatsApp goes down. Google Docs has issues. What's your backup?
WhatsApp goes down. There are problems with Google Docs. What's your backup?
Backup 1: As a family unit, send all important information to each other via email prior to the trip.
Backup 2: Make sure to print out important documents (hotel name, flight times, mu'allim contact) and have physical copies.
Backup 3: Each family unit has a backup contact phone number for the agency.
Backup 4: WhatsApp Business or Signal as alternative messaging.
When coordination tools fail (rare)
Sometimes things break. Examples:
- The BD parent is not well versed in using WhatsApp, particularly if they are older.
- All of Bangladesh's data plans expire. The data plans in Bangladesh expire.
- Saudi Wi-Fi is spotty
Fixes:
- For elderly: ask the sibling to check on them – do not involve the group in their care.
- For data: get a Saudi SIM at airport (BDT 1,500-3,000)
- For Wi-Fi: hotel Wi-Fi is generally good, take a portable hotspot
A diaspora family's coordination wins (composite)
The Begum family (7 people, UK + US + BD). They were able to coordinate because:
- The group has been active on WhatsApp for around 6 months.
- Google Doc to be updated weekly.
- Children are asked to check-in every day for 10 minutes while on trips.
- One print-out itinerary for each family group unit.
- Family membership cards are available for Saudi companies.Saudi SIM cards for family.
- Family leader (Mahi) consistent throughout
Results:
- No "where are we meeting" questions are asked.
- All flights are confirmed in advance.
- The parents of BD knew their schedule even without asking for it.
- No cost split disputes during the trip, with cost split agreed to on Day 1 of trip.
They had arranged 6 family pictures in a row at Kaaba, as everyone knew to go and meet at Kaaba at Fajr.
